Kondova Privacy Notice

We collect what a listing and an inquiry need, and nothing to sell on.

This explains what we collect, why, who sees it, and what you can make us do about it. It's written to be read, not to be skipped.

1Who is responsible for your data

Xyryl, working under the name Kondova, based in Metro Manila, is the personal information controller. That means one person decides what gets collected and what happens to it, and that person is accountable for it.

Kondova is not a company. There is no department between you and the person holding your data.

2What we collect

If you inquire about a unit: your name, your mobile number or email, when you want to move in, how many people will live with you, and whatever you write in your message.

If you submit a unit as an owner: your name, your contact details, where you're based, the unit's address and details, and the photos you send us.

If we end up managing your unit: your bank account details for confirming rent has arrived, a copy of the lease, the tenant's contact details, and records of repairs, payments, and messages.

If you become a tenant in a unit we manage: your contact details, a copy of your lease, your payment history, and any maintenance requests you make.

During tenant screening, if it gets that far: a government-issued ID, proof of income or employment, and sometimes a previous landlord's contact. This is sensitive personal information under the law, we only collect it with your consent, and only when you're actually being considered for a specific unit.

Automatically, when you visit the site: basic technical information like your browser type and the pages you looked at. We don't use advertising trackers.

3Why we collect it

  • To answer your inquiry and arrange a viewing.
  • To publish a unit and connect it with people looking to rent.
  • To assess whether someone is a suitable tenant, where an owner has asked us to.
  • To manage a unit: chase rent, arrange repairs, deal with the building, and send the owner a monthly statement.
  • To keep records we may need if there's a dispute about a unit or a tenancy.
  • To meet obligations under Philippine tax and other laws.

We don't sell your data, we don't rent it out, and we don't use it to advertise anything to you.

4What allows us to do this

Under the Data Privacy Act, we rely on:

  • Your consent, for tenant screening, for publishing an owner's unit and photos, and for sensitive personal information. You can withdraw it, and section 6 explains how.
  • A contract you're part of, or steps leading to one, for everything involved in arranging a lease or managing a unit.
  • Our legitimate interests, for keeping records, resolving disputes, and preventing fraud, where doing so doesn't override your rights.
  • Legal obligation, where a law or a lawful order requires it.

5Who sees it

Owners see inquirer details. If you ask about a unit, the owner of that unit gets your name, your contact details, and what you told us. That's the whole point of the inquiry, and we'd rather say it plainly than bury it.

Tenants see owner details when a lease is being arranged, because you need to know who you're renting from.

Tradespeople see what they need to do the job. A plumber gets a unit address and a mobile number, and nothing else.

Service providers we use to run the business may hold data on our behalf: form and email services, file storage, and messaging platforms. They process it under our instructions, and they don't get to use it for anything of their own.

Authorities, where a law, a court, or a lawful order requires it.

That's the list. Nobody else.

6Your rights

The law gives you these, and we'll act on them:

  • Be informed about what we hold and what we do with it.
  • Access a copy of your data.
  • Correct anything inaccurate.
  • Object to processing, or withdraw a consent you gave earlier.
  • Erase or block data where it's no longer needed, was collected unlawfully, or you've withdrawn consent.
  • Portability, meaning a copy of your data in a usable electronic format.
  • Damages, if you're harmed by false, inaccurate, or unlawfully used data.

Email touch@kondova.info and we'll respond within 15 working days. There's no charge.

One honest limit: if you withdraw consent while we're managing your unit or you're a tenant in one, we may have to keep some records to meet legal obligations or defend a claim. We'll tell you exactly what we're keeping and why, rather than quietly holding on to it.

After that, we delete it or strip out anything that identifies you.

8Keeping it safe

We limit who can see what to whoever actually needs it for the job in front of them. Accounts holding personal data use strong, unique passwords and two-factor authentication where the service supports it. Documents like IDs and leases are stored in access-controlled storage, not in a chat thread. We delete screening documents on the schedule in section 7 rather than keeping them because they might be handy later.

No system is perfectly secure, and we're not going to claim otherwise. If a breach happens that could seriously harm you, we'll notify you and the National Privacy Commission within 72 hours of knowing about it, and we'll tell you what was exposed and what to do about it.

9Cookies

The site uses only what it needs to work properly. We don't run advertising cookies and we don't track you across other websites. If we add analytics later, this section gets updated before it goes live, not after.

10Children

The site is for adults. We don't knowingly collect data from anyone under 18. If a child's details reach us, usually as part of who will be living in a unit, we keep only what's necessary and nothing more.

11Messaging and other platforms

When you contact us through Messenger, Viber, or email, those services handle the message under their own privacy policies. We can't control what they collect. Anything you send us there is covered by this notice once it reaches us.

12Changes

If this notice changes, the date at the top changes with it. Where a change materially affects owners or tenants we're working with, we'll tell them directly instead of waiting for them to notice.

13Complaints

Come to us first: touch@kondova.info. We'd rather fix it than have it escalate, and we'll tell you what we did.
